3CX – Self Recording Service
A recording facility has been set up so you can create personalised messages for your phone system — including for holidays, closures, auto attendants, queues or voicemail prompts. You can update these at any time using the steps below.

Process

Dial the recording number
Call 09 281 3555 or +64 9 281 3555. -
Record your message
After the beep, start speaking.
When you’ve finished, press the hash key (#). -
One message per recording
Please do not combine multiple greetings into a single recording.
If you need different messages (e.g. main greeting, after-hours, queue message), record each one separately.
Sample Script (Holiday / Closure Example)
Thank you for calling [Company_Name].
We’re currently closed for [Reason_or_Holiday_Name] from [start_date] until [end_date].
Please leave a message and we’ll make sure to call you back when we return.
If your request is urgent, please call [emergency_contact].
Thank you for your call.You can adapt this wording for any situation (e.g. staff training day, system outage, reduced hours, queue greeting, etc.).
When You Finish Recording
After you press #, you’ll hear four options:

Press 0 – Save the recording

Press 1 – Record again

Press 2 – Listen to your recording

Press # – Exit
Let Us Know Where to Use the Message
Once you’re happy with the recording and have saved it, please email helpdesk@kiwivoip.co.nz with:

Your company name
-
What this message is for (e.g. Christmas hours, queue greeting for Support, after-hours message, etc.)

The date and time you made the recording
-
The date range (and times, if relevant) when this message should be active

What should happen after the message finishes?

e.g. End the call, Send to voicemail for extension ___, Send to ring group / queue ___, etc.

When your recording is received, an audio file is sent to us.
We’ll then configure your 3CX system so the new message is applied in the right place. Once that’s done, the updated greeting will take effect. -
